To Our Clients Impacted by Covid-19

Rescheduling is your best option - but not your only option

Panic - it's so hot right now, but don't fret - we have your back like a Jansport. Read below to see your Levity options.
The quick and dirty (TL:DR;)
If your event is impacted by Covid-19 ordinances and guidelines, below are the parts of our contract we're throwing out the window.
  • Date Change Fee: We are waiving the date change fee for new dates (excluding Saturdays in April, May, June, September, October and pending availability)
    • We generate approximately 65% of our annual revenue on those 20 Saturdays, so rescheduling to those Saturdays is financially devastating to us too.
  • Final Payment Dates: Final payment dates are remaining the same to keep some sort of cash flow for regular operating expenses.
  • Late Fees: We are waiving all late fees. If you're unable to make your final payment by the assigned due date, do not worry. As long as your event is paid in full by the day of your new event date, there will be no late fees assigned.
  • No New Date Yet: That's fine too. Your retainer will serve as a "credit" with Levity until your new date is assigned.
  • Price Increases: Only affect clients who have not yet booked Levity. If you have a signed contract, those rates will be locked in for this event.
  • New Contracts: Not necessary. Let us know your new date or plan to hold off on setting a new date and we'll send an email confirmation acknowledging and proceeding with your decision.
  • Credit Expiration: There is none. If this has pushed your plans back to 2040, we'll be there to honor the contract we have in place. Albeit, we'll be a little fatter and grayer than originally planned.
  • Transferability: We're waiving this clause too. Your credit and contract can be applied to a new event type, at a new venue, on a new date and for a new beneficiary. Several of our clients have "gifted" their credit towards friends/family members who are getting married.
  • Credit Usage: Can be for anything we offer. Officiating services. Equipment rentals.
For information on cancellations, see option 4 below.
Option 1: Continue as Planned
(2020-04-06, 8:13 pm UPDATE 1: This is an unlikely option, now the state of Missouri is under a stay at home order until 05/04/2020 and gatherings are limited to 10 people or less)

This option is, obviously, strongly discouraged. As Outbreak, Contagion, The Andromeda Strain and The Stand and general common sense has taught us - being around large groups of people is the best way to spread the virus. Levity, cannot stress enough how much we advise against this.

However, if your event is not impacted by the city, county, state or federal bans, whether it be by excluded coverage from your venue's jurisdiction, a wedding exception or risk - we can be there for you and we need to know ASAP if your event  between now and May 15th, 2020 is continuing as planned.

We also have 4 ordained officiants and are offering $100 off for those who still want to be married, and throw a raging party later. (Now only $199)
Option 2: Rescheduling/Postponing (Recommended)
If you haven't yet picked a rescheduled date, the event industry is imploring those displaced by the quarantine to reschedule to dates in the off season or a less typical day of the week.
  • Fridays or Sundays
  • January-March, July or August
This sucks for everyone and Levity is doing everything we can to ease the sting. Because Covid-19 caught everyone off guard to begin with, one thing we want to avoid is a domino affect amid all the chaos.

Rescheduling events to new dates your wedding professionals would have filled regardless, creates a massive loss in cash flow for them and jeopardizes their business continuity. While Levity is fortunate enough to have backup plans, reserves, contingencies and a sugar daddy, that isn't the case for so all wedding professionals. Selecting a date in the off-season or a Friday/Sunday would be there to protect you as well.

This is not saying you have to pick a Friday, Sunday or off-season Saturday. It's merely a recommendation to ensure you don't find yourself scrambling for a florist, caterer, bartender or venue yet again.

Rescheduling Fees
For new dates that do not fall on a prime Saturday (Prime Saturdays are in: April, May, June, September, October), we are waiving the date change fee entirely. Because we do about 70% of our business on those 20 Saturdays each year, moving to one of those prime Saturdays is a significant hit for a small business like us and most wedding vendors).

Once You've Set A New Date

Option 3: Downsizing
(2020-05-06, 5:13 pm UPDATE 1: Some municipalities are opening back up and allowing small gatherings of 10 or less, including vendors. As restrictions and tensions ease, we're committed to providing DJ services as recommended by current CDC guidelines.)

-----------------

Some friends and family had already traveled to be with you to celebrate - so some couples are taking advantage of the situation. Currently, small events, under 50 people are still allowed in most counties and cities with the Federal Government recommending nothing more than 10.

So another option is downsizing. We know it's a tough call to make, but if you decide to limit the attendees to very close family and friends, some venues are still operating. Check with your venue to see if that's an option. We can still be there as 1 of the 50 person limit to DJ and MC.

Levity also has a showroom in NKC, set up as a mini-venue. We are offering our showroom to booked clients for free of charge, pending availability.
  • Limited event size to 40 people total
  • Table and chairs for up to 24 people (can rent more and remove lounge furniture) for additional capacity.
  • Plenty of hand soap, hand sanitizer and toilet paper

Option 4: Cancelling
We hope this isn't your only option, but if it is, please refer to your contract, accessible through your client portal under "Event Details." For reference, below is our cancellation policy:
Cancellations 30 or more days before the event: CLIENT forfeits any payments made to Levity Events, LLC. and Levity Events, LLC forgives any remaining balance due.

Cancellations 30 days or less before the event: CLIENT forfeits any payments made to Levity Events, LLC and remits payment for any remaining balance owed to Levity Events, LLC.

Date changes are subject to availability and an administrative fee.

Excluding extreme scenarios (acts of civil authorities, acts of terrorism, acts of God/natural disasters, free tickets to a Drake concert, etc.), Levity Events, LLC won't cancel. Should a highly unlikely circumstance arise that prevents Levity Events, LLC from providing services, Levity Events, LLC will provide a suitable replacement at no additional cost to CLIENT.
What the last paragraph means, is it gives Levity the ability to cancel our services in this scenario without refund. If we're not able to provide services, for reasons other than those listed, we'll provide a replacement. We didn't rise to the top of our industry by being jerks though - we did it because we're passionate about what we do and compassionate about our clients. This is why we're
  • Waiving the date change fees
  • Applying all payments to new event dates
  • Locking in your pricing, protecting from price increases
If you have any questions, please contact us immediately.

Ashes to ashes, dust to dust...

For most couples we work with, this is the only time they've ever planned a wedding, so creating the best wedding reception timeline isn't something they've usually done before. If you've hired a coordinator, or a kick-ass photographer - they'll probably help build a general wedding timeline for the entire day, with a major focus on the ceremony. If you'd ask our opinion about wedding CEREMONY timelines, we'd most likely respond with Clark Gable's infamous catchphrase.

First things first, we're the realist. Not everyone wants a DJ or band at their wedding... but what's the point of getting married without music? Thus, the MP3 player wedding was borne.

Weddings are stressful. There is no question about that, but by having a wedding planner, you have an advocate working on your behalf to put out fires and get stuff done.
